Terms and Conditions

We require all customers read the below terms and conditions as they form the contract between ourselves Hadrian’s Walls Holidays (Qool Ventures Limited) and yourself, the end client.

As a family owned and operated company, we will always seek to make the process as simple and as flexible as possible but please be aware, our terms and conditions cover all bookings made with us.

The contract

By accepting the quote by email, telephone, messenger or written form, you are accepting on behalf of the named persons the terms and conditions. We reserve the right to refuse any booking request.

Minimum age

Guests must be a minimum 12 years of age to participate in our tours. We require the accurate date of birth of all guests at the time of booking. All persons under the age of 18 must be accompanied by an adult over the age of 25 who accepts responsibility for them. All persons under the age of 18 joining a Hadrian’s Wall Holiday must have the booking form countersigned by a parent or legal guardian.

Health

Bookings are accepted on the understanding that all persons travelling are normally in good health and able to fulfil the physical demands of the chosen holiday. All participants must be in good health and understand the active and often demanding nature of the tours. Guests agree to follow all advisory and safety notices posted either by ourselves or on the Hadrian Wall Path National Trail. A good level of walking skill is required for all our tours given the often demanding terrain. Please advise any health or medical conditions at the time of booking and we can advise accordingly.

Insurance

It is mandatory every guest has sufficient travel insurance in place from the time of booking to cover all eventualities. We will not provide any refunds for trips curtailed once the balance is paid. Please do not take risks whilst on an activity holiday. In the interests of safety, you must follow the guidance in our notes, as well as that provided by anybody on our behalf; comply with any local codes of conduct, follow the Country Code and act sensibly and prudently at all times. Unsociable or violent behaviour towards other guests will not be tolerated . It is your responsibility to ensure that you are in possession of all necessary travel and health documents before departure.

The insurance coverage must cover yourself, luggage and equipment for cancellation, loss of possessions, personal accident (including death) and illness.

Hadrian’s Wall Holidays will not accept any responsibility for damage, loss, illness or injury suffered whilst on the walk. We will not accept any liability for any loss, damage or injury resulting from actions of third party providers (luggage transfers, accommodation, guides) beyond our control. This also includes force majeure.

Payments

All payments are in GBP. A deposit £50 per person is required at the time of booking, payable by credit/debit card or bank transfer. The balance of your holiday is payable eight weeks before the start of the holiday. If the deposit or balance of your holiday price is not paid by the specified due dates, your booking might be cancelled. Special Offers are only available at times of offer and cannot be claimed retrospectively.

Changes to your holiday

If you need to make changes to your booking, we will endeavour to satisfy your request but cannot guarantee that your changes will be possible. Any changes that are made to your booking at your request will incur a change of booking fee of £25 plus any additional costs incurred to Hadrian’s Wall Holidays. You must contact us by email as soon as possible with any request to change your booking and confirm your request in writing.

In the event of either you or a named person on your booking form being unable to join your holiday, the place may be transferred to another person but only after:

  1. A Transfer of Booking form has been completed and returned;
  2. the total holiday price on the original booking form has been paid in full, and;
  3. written permission of the transfer of place has been given by ourselves.

In order to maintain your safety, enjoyment and comfort during your holiday, Hadrian’s Wall Holidays reserves the right to make changes to your itinerary due to unforeseen circumstances, e.g. severe weather conditions. If Hadrian’s Wall Holidays has to make major changes to your holiday prior to your holiday start date, you will be notified of the changes in advance in writing. If you are not satisfied with the changes, you will be offered an alternative holiday or a full refund of monies paid.

Accommodation

We allocate accommodation based upon availability at the date of travel. The guest understands the providers are owner operated properties of various levels including guest houses, hotels, pubs and bed and breakfasts. All tours include breakfast with the option to purchase a packed lunch being available.

The standard of accommodation will vary depending upon the stop over point and the availability. If we are required to provide accommodation off the Hadrian’s Wall trail, we will provide transport and return the following day.

Cancellations

If you have to cancel your booking or the place(s) of a named person(s) on your booking form, you must let us know in writing. Please contact us by email or telephone so that we can act upon your cancellation immediately, however, you must also confirm your request in writing. The following cancellation fees will apply:

Period before start date

  • More than 60 day - 25% of the cost
  • between 41 days & 59 days - 40% of the cost
  • between 42 & 29 days - 50% of the cost
  • between 28 & 15 days - 70% of the cost
  • within 14 days - 100% of the cost

Losses incurred should be covered by any suitable travel insurance policy.

Cancellations by us

Hadrian’s Wall Holidays reserves the right to cancel any holiday booking. If you breach the terms and conditions of your booking, we may cancel your holiday and you will be subject to the same fees that would apply to you if you were to cancel your holiday (see ‘If you have to cancel’). In the unlikely event that Hadrian Wall Holidays has to cancel your holiday due to unforeseen circumstances, e.g. force majeure (natural disaster, civil unrest), you will be offered an alternative walking holiday or a full refund of all monies paid.

Liability

Hadrian Wall Holidays endeavours to be a responsible holiday provider and does its utmost to ensure your safety at all times. However, you participate in a holiday at your own risk and your booking form is a waiver of liability to this effect at the start of your holiday.

Complaints

Hadrian Wall Holidays does its very best to ensure that your holiday is everything you expected it to be , and that you return home happy and satisfied with your time spent with us. However, if any problem should arise during your holiday, please inform us as soon as possible so that the problem can be resolved quickly and efficiently. We are a small family run business, your custom is very important to us and we will always do our very best to help you.

Your contract with us and all matters arising out of it are governed by English law. We both agree that any dispute, claim or other matter which arises out of or in connection with this contract or your itinerary, will be dealt with by the Courts of England and Wales only unless, in the case of Court proceedings, you live in Scotland or Northern Ireland. In this case, proceedings may be brought in the Courts of your home country. If proceedings are brought in Scotland or Northern Ireland, you may choose to have your contract governed by the law of Scotland/Northern Ireland as applicable. If you do not so choose, English law will apply.
